It was a Tuesday in Q2 2024. I was reviewing a batch of technical documents for an upcoming shipment — standard stuff. But one request caught my eye: a PDF copy of the Metso slurry pump handbook for a small client we barely knew.
The company was a family-run gold mine in Nevada. They'd ordered a single pump set and asked for the handbook in digital format. Nothing unusual. But as the quality inspector, I check every piece of documentation before it leaves our system — roughly 200+ items per quarter.
I opened the PDF for the Metso slurry pump handbook, version 4.2. Everything looked fine until I reached the performance curve for the MD500 pump. The stated maximum flow rate was 2,600 GPM, but I remembered from a recent product update that the actual limit after the impeller redesign was 2,450 GPM.
I checked the engineering database. Sure enough — the handbook PDF hadn't been updated to reflect the change from the 2023 hardware revision. The printed version we ship with new pumps was correct, but the digital PDF was still showing the old data.

Here's where the risk weighing kicked in. The upside of flagging it: a correct handbook. The downside: delaying the response by 2–3 days while we regenerated the PDF and re-ran verification. The client was small — this was their first order, barely $18,000. Some might say “just send it, they'll never use the curve that precisely.”
But I calculated the worst case: if that client designed their piping system around the old flow rate, they could overspec the pump or undersize the motor. A $22,000 redo if the installation failed. Best case: they noticed nothing and operated inefficently. The expected value said flag it, but the downside felt heavy — a small client might not have the resources to recover.
Everything I'd read about large OEMs said their documentation is always perfect. In practice, I found that version control is human. And that's where the experience override hit me: conventional wisdom says big brands never make these mistakes. My experience with over 4 years of reviewing documents suggests otherwise.
I flagged the issue to the documentation lead. His first reaction: “It's just a PDF — the printed book is correct, and the pump itself ships with the right specs. The client can reference the printed one.”
I pushed back. “They specifically asked for the PDF. They probably want to store it digitally for their engineers. If they use it as a reference, they'll get the wrong number.”
He agreed to update it. (Should mention: we had a 3-day buffer on the delivery timeline anyway.) Oh, and I should add that we'd already received the client's piping layout — they were indeed using the handbook to size their discharge line. If we'd sent the old PDF, they would have designed for 2,600 GPM instead of 2,450 GPM. That's a 6% oversizing — enough to cause cavitation at partial load.
We corrected the PDF within 48 hours and sent it along with a note explaining the revision. The client's project manager replied: “Thank you — we were just about to finalize our pump station design based on that curve. This saved us a major headache.”
I only fully believed in the importance of checking every detail after that moment. They warned me about small clients not being worth the extra effort — I didn't listen. The 'quick send' approach would have ended up costing someone time and money.
Small doesn't mean unimportant — it means potential. That client today still orders from us, and their orders have grown 3x over 18 months. But even if they hadn't, the principle stands: quality is not tiered by order size.
When I was starting out, the vendors who treated my $200 orders seriously are the ones I now use for $20,000 orders. The same applies here. A small client who receives accurate documentation is a client who trusts your brand.
I now make sure every new document — PDF or printed — goes through a version check against the latest engineering data. It adds maybe 15 minutes per review. But that 15 minutes can save a client $22,000 in rework. And that's worth it for any customer, regardless of their order size.
